Review Actions

These actions are available on the KYC record detail page. Which actions are visible depends on the record's current status and the logged-in user's role.

Start Review

Available when: Status is Waiting or Rejected (awaiting resubmission)

Assigns the record to the current reviewer and changes the status to In Review. This signals to other team members that someone has taken ownership of the record.

Approve

Available when: Status is In Review and the current user is the assigned reviewer

Completes the review and marks the record as Approved. Before approving, the reviewer must assess each identity field and certificate individually — marking each as accepted or rejected with an optional comment.

Send Feedback

Available when: Status is In Review and the current user is the assigned reviewer

Sends the record back to the applicant with a request to correct or resubmit specific information. The record status changes to Rejected (resubmit). The applicant receives a notification explaining what needs to be fixed. Once the applicant resubmits, the record returns to Waiting.

Request Review

Available when: Status is Approved (feature must be enabled for your service)

Sends a notification to the applicant asking whether there are any updates to their profile. Typically used months after an approval to prompt the applicant to resubmit if their information has changed (e.g. renewed documents, updated address). The record status changes to Review Requested while awaiting the applicant's response.

Send Reminder

Available at any time

Sends a push notification to the applicant reminding them to take action (e.g. to complete their submission or respond to a feedback message). Useful when an applicant has not responded.

Assign Reviewer

Available at any time (with appropriate permissions)

Changes which team member is assigned to review this record. Can also be done from the sidebar without entering full review mode.

Operator Edit

Available with appropriate permissions

Allows a manager to manually correct an applicant's data field (e.g. fixing a typo in a name or date of birth). All edits are logged in the activity history with the editor's identity and timestamp.

Apply Curated Data

Available with appropriate permissions

Applies pre-verified data from an external or trusted source to the record, overriding or supplementing the applicant's submitted data. All applications are logged.

Update Merchant Reference (refId)

Available with appropriate permissions

Changes the internal reference ID attached to the record. Useful if the original reference was set incorrectly or needs to be updated after the fact.

Update Custom Field

Available with appropriate permissions

Edits the value of a custom field on the record. Custom fields are defined in your service Settings.

Block

Available at any time (with appropriate permissions)

Blocks the applicant's access to the service. The applicant cannot interact with the service while blocked. Blocking does not delete the record.

Unblock

Available when: Record is Blocked

Removes the block and restores the applicant's access.

Archive

Available when: Record is not already archived and status is not Incomplete

Deletes personal data and marks the record as archived, removing it from the active review queue. Archived records are still searchable and accessible via the Archived filter in the KYC List. Records with status Incomplete (still being processed) cannot be archived.

Delete

Available with appropriate permissions

Permanently removes the record from the system. This action cannot be undone. All associated data, documents, and certificates are deleted.
